Email Encryption & Data Loss Prevention (DLP)

ProCirrus offers two ways for your team to send encrypted email: an Outlook plug-in and a subject line tag. The plug-in handles encryption directly from Outlook, and the subject line tag lets you encrypt from Webmail, mobile devices, and anywhere else you send mail. This article walks through how end users send encrypted email and introduces Data Loss Prevention (DLP), an optional add-on that automatically catches sensitive content before it leaves your firm.

Why Email Encryption Matters

HIPAA, FFIEC, GLBA: the list of regulatory policies, requirements, and councils dedicated to protecting consumer data is ever-growing. As employees handle sensitive information (client records, intellectual property, etc.), it is important to recognize the type of data being sent over email and to ensure that sensitive information is sent securely, protecting your customers' information and your firm's brand reputation.


When handling this type of information, sending documents and data securely is of the utmost importance, regardless of the device used for communication.


About Data Loss Prevention

Data Loss Prevention (DLP) is an important tool in the protection of your firm. It evaluates all outgoing email from your firm's accounts and looks for numerical patterns or terms that you have identified as protected data. To create your firm's policy, please complete the attached form. The policy applies to all users within your firm's domain.

Note: DLP is included with ProCirrus' encryption product but is not required as part of using encryption.

When a protected word is detected, the email is intercepted and one of the following actions occurs, depending on your firm's policy:

  1. The email is automatically encrypted and sent.

  2. The email is quarantined and an alert email is sent.
