Sharing Calendars in Outlook

Share your calendar with others so they can view details about your schedule. The steps below cover both sharing your own calendar and opening a calendar that has been shared with you.

Share your calendar

Step 1: Open the sharing dialog

In Outlook, select Calendar > Share Calendar, then choose the calendar you want to share.

Step 2: Add the people you want to share with

Click Add, select the people to share your calendar with, then click Add again. Click OK to see the added people listed with a default permission level.

Step 3: Set each person's access level

Choose a name from the list, select the access level you want to grant, then click OK.


Open a calendar that was shared with you

Step 1: Accept the sharing invitation

Open the email containing the shared-calendar invitation and click Accept.

Step 2: Open the shared calendar in Outlook

In Outlook, select Calendar > Shared Calendars, then choose the calendar you want to open.

Step 3: Overlay the shared calendar with your own

Right-click the shared calendar's name and select Overlay to layer it on top of your own calendar for a side-by-side view.

Tip: You can adjust permission levels or stop sharing at any time by returning to Calendar > Share Calendar and selecting the person from the list.
